Some thoughts about colour

If you use colours correctly, there is actually no need to put your corporate logo very prominently on each page to remind the audience what company they are listening to. Colours will give the page the recognisable look & feel instantly.

Make sure you use the correct colours instead of PowerPoint’s default colour scheme. Your marketing department should have the brand guidelines with RGB codes, and if not, you can “steal” them from a logo image using a colour picker. Try saving them as a template in PowerPoint so you don’t have to go through this exercise for every presentation you start.

You actually do not need many colours for a page to look great. (My presentation design app SlideMagic only allows you to use one). It is important to think about the relative importance of colours. Which colours can you use often, or for large surfaces, and which ones are meant as accent colour only.

Throughout the presentation, try to use the same colour for the same concept. Everything to do with competitor A is always green. The results for the drug are blue, the control group is orange.

Colour can be a powerful tool to group things together on a slide. Especially if objects are far away from each other, using colour is a much better tool than trying to draw connecting lines.

Watch out with the colour red in financial results. Even a huge profit will look like a massive loss when set in bright red.

A light colour is a much better way to give a box contrast than drawing a dark line around it. I hardly ever use lines around shapes.

30 x 10 feet

A SlideMagic user asked the the other day what to do with a 30 x 10 feet (10 x 3 meter) projector screen that he was supposed to use in a presentation. A 10 x 3 meter screen has a 3:1 aspect ratio and is incredibly wide and “low”. Displaying a regular 4:3 slide on it will leave huge black bars to the left and right of the slide.

The first decision you need to make is whether you want to use the entire screen or not. Pro: you can create spectacularly large slides. But there are drawbacks:

  • A huge screen might overpower you, the speaker
  • It is actually very hard to design slides in this unusual format. Image crops are not natural, and there is almost no avoiding to putting content in boxes from left to right on the slide
  • Finally, it is work to do the above

If you decide to go for the full big screen redesign, then you do not need to create a 30 x 10 feet custom slide format in PowerPoint, any 3:1 aspect ratio will do.

No, my presentation app SlideMagic does not support custom screen aspect ratios, that would go against its philosophy.

Presentations on mobile devices - taking stock

Five years after the iPad launch let’s take a step back and see what is actually happening in the world of presentation software and the use of mobile devices. My observations are based on the people I see around me everyday: startup employees (mostly mid 30s to 40s) and staff in big corporates (a bit older).

  • Designing. Apple has made a big inroad in terms of hardware, but it is still PowerPoint that runs on a laptop machine that is the preferred set up to create slides. I have not encountered anyone who uses a mobile device to do this. Apple Keynote is pretty much still a niche application.
  • Frankensteining / finding stuff. Cloud-based file systems can be confusing to use. I still do not understand exactly what happens when Keynote on iPad tells me it is converting a regular Keynote file. In practice, the file system that everyone is using is… the email inbox and sent box. People with gmail can find stuff faster than Outlook users.
  • Viewing. Yes, more and more, people use their mobile devices to view a presentation. And it is not the iPad, a tablet, it is the mobile phone, where people squint to see what is in the slides. These are investors looking at a pitch deck, these are managers/superiors proving input on a slide. Think about it, this might be a more important audience for your slides than the ones sitting in conference room.
  • Emergency edits. Still laptop, although a tablet could work here, few people use it in a corporate setting.
  • Coffee chat, 1 on 1. Mostly laptop, I see fewer iPad/tablets than I saw 1-2 years ago.
  • Conference room. Laptop. The crappy VGA projector is being replaced by crappy LCD screens. Presentations that look beautiful on your retina display, look absolutely horrible on an LCD screen with poor resolution and overly bright settings. (Test, test, test). Advanced meeting rooms now allow you to airplay your presentations into the screen. People use their laptops to do this, not their mobile devices.
  • Big keynote. Conference laptop with a memory stick plugged in.

Designing presentations for print

In some industry sectors, especially financial services, people still insist on printing the presentation slides and handing out booklets at the start of the meeting. You can have groups of 10-20 people sitting around a conference table flicking through pages.

It is great for taking notes, analysing detailed financials, but it is not that great for a close connection between speaker and audience, and that last minute typo in the name of the CEO cannot be corrected once on paper.

Sometimes you have to pick your battles and if print is the way to go, think about these issues when starting the design of your slides. The bottom line, get a slide to look good on paper on day 1 of the design project, not at 3AM the night before the meeting.

  • Colours appear different on screen than on paper, especially on cheaper, older, or almost-out-of-toner printers. Bright blue can turn into faded grey, lively orange can become girly pink, subtle grey shadings turn into bright white, just to name a few potential problems.
  • Hole punchers for binding machines require extra space at the top of your page, test it.
  • Dark back grounds empty toner cartridges and make make the fingers of your audience black.
  • You can get away with low res images on a 15 year old VGA overhead projector, on paper though, you will get caught. Use high resolution images.
  • A monitor frame, or the light rectangle on a projection screen provide an implicit frame for your slide. Paper should do the same in theory, but A4/letter/4:3 and other issues makes it highly unpredictable how your slides are scaled on paper. In the worst case you might have draw a tiny grey line around your slides to anchor things (yes really).

Be less busy with presentations

This memo that was sent to the team behind Slack before its preview release resonated with me.

We are unlikely to be able to sell “a group chat system” very well: there are just not enough people shopping for group chat system (and, as pointed out elsewhere, our current fax machine works fine).

I love the “be less busy” tag line of Slack. I love the stress relief that search provides in Slack (you can always find things if you have to).

The more I think about it, SlideMagic might actually not an alternative to PowerPoint, it is a broader concept of change in how people in enterprises should communicate, and how they spend their time preparing for this communication. My tool enables this, but it is not the main thing of what it is all about.

SlideMagic enables you:

  • To be less busy with meetings: you can have short, to the point meetings where ideas can be communicated clearly, and decisions can be taken quickly. Documents are simple and clear, and more or less standardised. It becomes a very efficient corporate language.
  • To be less busy with preparing for meetings, Most of the time will go into forming your idea. Once you have your idea, it only should take an hour or so to jot it down in beautiful slides. And a powerful keyword search function across all your slides ensures that you will never have to do double work, rework slides.
  • To lift the spirits of a company by eliminating poor design. Employees work better in a beautiful office. Seeing depressing dense bullet point presentations on every screen, on every printer, on every fax machine, on every projector, in every email inbox, does not add to employee morale.

Smaller screen, better presentations

There is a nice side effect of people ditching their laptop and carrying a small tablet device instead: presentations get better. But it has nothing to do with technology, it is the setting of the presentation that has changed.

In the absence of a big projector screen or LCD monitor, that small conference room just changed from a mini cinema theater to a discussion table. The attentions is shifting back from the screen to the presenter. The presenter vaguely points at the device and continues “what this chart wants to say is [and out comes the story]”. Only when you have to, the iPad gets passed around the table to show that important piece of data on page 37.

Good stuff until Airplay-enabled projects are hooking up our mobile devices to projectors again.

Designing presentations for retina displays

Typographers had big debates when Apple launched the first iPads and iPhones with retina displays (“Retina” is the marketing name for a screen with such a high pixel density that your eyes cannot see individual pixels anymore). Retina displays are obviously different from low resolution screens, but - as the typographers discovered - are also different from paper/print.

I now see similar issues with large retina monitors. A traditional PowerPoint presentation with an Arial or Calibri font looks somehow off. You need lighter, thinner, crisper fonts. Macs have Helvetica light installed, but Windows machines not. Drop shadows look “dirty”. Outlines around boxes look too heavy.

My guess is that Microsoft will fix the font issue in upcoming releases of Windows and Office products. But, if we fix the issue for computer screens, we are still left with this huge install base of crappy VGA overhead projectors in corporate conference rooms that never get replaced…

If you are working on a really important, one off, presentation find out about the screen you are going to present on and test your design.

The cover image that needs to say it all

The cover page of a presentation is an important page. It sits on the projector as the audience walks in the room. It is featured in the thumbnail of an email attachment. It sets the look and feel of your presentation.

Many clients want to have a cover page that says it all. A perfect image that reflects the entire story. In the absence of this image (99% of the cases), they want to do the next best thing: make a collage of smaller images that together tell the story.

I think it is better to pick just one, imperfect, image as a cover page. A collage of tiny images without explanation does not mean anything to the audience, and looks very cluttered. If people could get your message by just looking at a picture collage for 15 seconds, there would be no need for your presentation?

What not to put in a pitch deck

A post with 8 things you should not include in a pitch deck on TNW. My comments:

  1. No detail, 20-30 slides. It depends. If your slides are really light and visual, you can go through a lot of them in 20 minutes. maybe more than 30. Depending on your situation, (some) detail can be good. Really high level pitches lack meat.
  2. No contact information. No reason to overdo it, but an email or phone number on the last page does not harm I think. I do not like it when I cannot find a phone number at the bottom of an email.
  3. Remove a point they can object to. Maybe, but if it is a major point, it has to go in. You cannot change reality… If this is a deal breaker, then this investor is not the right one for you.
  4. Fund allocation. Yes, opening up criticism over your budget might not be smart. Still, an investor wants to know roughly what is going to happen with the funds, and why you need this money, now, and not in 6 months from now
  5. Guestimates. Agree. If you have to make guestimates, make intelligent ones, and make it transparent that it is a guestimate
  6. Unrealistic success prediction. Agree
  7. Saying there is no competition, absolutely agree. Even if there is no direct competitor, there are other solutions, categories, that people are using to solve a particular problem
  8. The “The End” slide, yes, you can take that one off, and replace it with a repeat of a strong visual earlier in the presentation. This is a nice backdrop against which to hold the Q&A discussion. The last slide is the slide that probably sits longest on the projector.

Reference points

In my twenties I saw many examples around me that created presentation habits I had to unlearn. Professors at university putting a copy of a syllabus page on an overhead projector. Politicians waffling on TV. Senior student organisation leaders giving very poor speeches. Pompous Microsoft Word memos being printed out and distributed in every employee’s mailbox. Boring dinner speeches that everyone sat through politely and quietly.

The world is changing and younger generations have videos of TED talks, Steve Jobs product launches, and other presentations to set new reference points. Still it is worth making sure that you are not following bad habits of other people around you, because this is the way you are supposed to give a presentation.
